Best Practices for Clear, Readable Writing Online

Clarity is a craft, not a gift

Clear writing reads as if it were easy to write, which is exactly why it's hard. The good news: clarity comes from a handful of repeatable habits, not from talent. Apply these and ordinary drafts get noticeably better.

Put the verb early and keep it strong

Sentences gain momentum when the subject and a strong verb arrive early. Weak constructions hide the action: "a decision was made" instead of "we decided." Prefer active voice and concrete verbs — they carry meaning that adjectives only gesture at.

Cut what doesn't earn its place

Most first drafts are 20% too long. Cut:

• Filler — "very," "really," "just," "basically," "actually."
• Throat-clearing — "It's important to note that…" Start with the note.
• Hedges — "kind of," "sort of," "I think that." Say it or don't.
• Redundancy — "in order to" is "to"; "due to the fact that" is "because."

Brevity isn't about writing less; it's about removing what isn't working.

One idea per sentence, one point per paragraph

When a sentence turns, end it and start another. When a paragraph picks up a new idea, break it. Short paragraphs invite reading; walls of text repel it. This matters even more online, where readers skim before they commit.

Read it aloud

The fastest editing tool is your own ear. Read a passage aloud and you'll hear the run-on sentences, the clumsy rhythm, and the words you don't need. If you stumble reading it, the reader will too.

Write plainly, even about complex things

Clarity is not the enemy of depth. The hardest ideas deserve the plainest language, because the reader's effort should go to your idea, not to decoding your sentences. Plain isn't simplistic — it's respect for the reader. Draft it, then sand it down in the Writer.
